We are excited to introduce this newly created position, designed to support the continued growth and coordination of our project teams. Reporting to the Contracts Manager, this role will partner closely with Studio Directors and project team members to coordinate, review, and maintain contract documentation and project data throughout the full project lifecycle. As the position develops, there is opportunity to grow into a Lead role, with path to take on additional management responsibilities over time. This position can be based in either of our California offices (Santa Rosa or Oakland).

 

This position is full-time, hourly, and eligible for benefits. Base pay range is $33 to $36 per hour. Compensation for this role is based on experience, job-related knowledge/education, qualifications, and office location.

 

We offer the flexibility of a hybrid work environment, with an established 24-hour in-office/or in-the-field per week requirement after 90-days of employment.


Typical Responsibilities
  • Owner-Architect contracts – data validation and entries at various points in the project lifecycle, beginning with project creation and ending at project close.
  • Consultant contracts – perform the Consultant RFP duties to onboard Consultants through handoff to the contracts technician. Identifying & coordinating adjustments and supplemental services that arise during the project lifecycle.
  • System alerts – responding to alerts from both Vantagepoint and Smartsheet that indicate an item that needs attention or a trigger regarding scope creep or other supplemental services.
  • End of Project Closeout review – assist contracts manager & contracts tech with final contract review of contract closeout

 

These responsibilities are typical but are not all-encompassing. Each person is expected to work collaboratively as a team and perform the duties required to deliver a quality product on schedule, within the project budget and the budgeted hours provided.


Knowledge and Experience

  • Minimum two years’ relevant work experience with Professional Services contracts, preferably Architectural or Engineering services
  • Excellent written and verbal communication skills
  • Detail oriented
  • Organized
  • Strong vendor management skills with experience overseeing multiple supplier relationships
  • Expertise in document management systems and records management best practices
  • Experience with Vantagepoint, Procore and Smartsheet is a plus
  • Familiarity with contract workflows
  • Ability to review complex contracts for legal accuracy while maintaining clarity in documentation
  • Strong organizational skills with a focus on records management and document review processes
  • Effective communication skills for cross-functional collaboration and stakeholder engagement
  • Ability to work independently as well as part of a team
  • Vantagepoint, Procore &/or Smart Sheet experience a plus
  • Experience with construction documentation and/or DSA experience a plus
